Job Description

The Accounting Clerk is responsible for performing a variety of general accounting support tasks to ensure the accuracy and efficiency of financial operations. This position assists with bookkeeping, invoice processing, reconciliations, and vendor communication. The Accounting Clerk maintains accurate financial data, supports audits, and ensures adherence to company policies and accounting procedures. Essential Duties and Responsibilities:

  • Perform general bookkeeping tasks to ensure accurate financial records.
  • Manage title filing and recordkeeping for company trucks and vehicles.
  • Conduct monthly bank reconciliations and verify deposits; respond to inquiries from banks as needed.
  • Process accounts payable and accounts receivable transactions, including invoicing and collections follow-up.
  • Generate and send invoices accurately and on time.
  • Reconcile customer accounts and assist with managing A/R collections.
  • Review accounting reports for clerical accuracy and reconcile discrepancies.
  • Allocate expenditures to appropriate accounts based on departmental procedures.
  • Post journal entries to the general ledger and assist with maintaining accurate ledger accounts.
  • Assist with year-end audits by compiling documentation and supporting external auditors.
  • Coordinate with software vendors to maintain accounting software systems and recommend enhancements as needed.
  • Maintain accurate filing systems for accounting records; may assist with general administrative tasks as needed.
  • Other duties as assigned.
Skills and Knowledge:
  • Basic understanding of bookkeeping practices and accounting procedures
  • Proficiency with Microsoft Office Suite; advanced knowledge of Excel is a must
  • Ability to review and proof accounting reports for clerical accuracy
  • Experience allocating expenditures to proper accounts according to departmental protocols
  • Comfortable coordinating with vendors for accounting software maintenance and upgrades
  • Strong communication skills, both written and verbal
  • Excellent organizational skills and attention to detail
  • Ability to follow verbal and written instructions
  • Ability to maintain confidentiality and handle sensitive financial information
  • Dependability and consistency in meeting deadlines
Experience:
  • Associate’s degree (AA) in Finance, Accounting, or Business
  • Minimum of 1 year of experience in an accounting or bookkeeping role
  • Experience with general ledger entries and account reconciliation
Work Environment: This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. It requires prolonged periods of sitting and frequent use of a computer. The work is primarily sedentary but may involve occasional lifting of files or boxes up to 15 pounds. The pace of work may be deadline- driven and requires strong attention to detail and accuracy. While the role is primarily independent, it involves regular communication and collaboration with other departments and vendors. Physical Requirements:
  • Must be able to lift up to 15 pounds at times.
  • Must be able to talk, listen, and speak clearly on the phone or in person.
  • Must be able to sit or stand at a computer for extended periods.
