Overview

We are a busy family of nine running a small business and managing an active household. We are seeking a highly organized, detail-oriented, and discreet Personal Assistant to help us keep all aspects of our personal and family life organized.

This role is ideal for someone who thrives on structure, loves coordinating people and projects, and can manage both personal and small business-related tasks with complete confidentiality.

Key Responsibilities

Personal & Family Organization
  • Plan, coordinate, and manage family events and activities.
  • Organize and maintain records, paperwork, schedules, and planning documents.
  • Coordinate and manage the people who support our home and property (e.g., landscapers, house maintenance, vendors).
  • Arrange and oversee family vacations , including research, bookings, and itineraries.
  • Track and manage relevant family information, expenses, and budgets .

Business & Financial Support
  • Perform light bookkeeping tasks for a small portion of our business.
  • Work within Excel and QuickBooks for tracking expenses, reimbursements, and other simple financial items.
  • Maintain organized systems for both personal and small business documentation.

Privacy & Boundaries
  • Handle highly confidential information with absolute discretion.
  • Sign and strictly uphold a non-disclosure agreement .
  • Maintain healthy professional boundaries while working closely with our family and team members.
  • Respect the diverse range of people in our lives while staying focused on your mission of keeping us organized and supported.

Qualifications

Required Skills & Attributes
  • Highly organized and detail-oriented, with excellent follow-through.
  • Strong communication skills and the ability to coordinate across multiple people and schedules.
  • Proficiency with Excel , QuickBooks , and general digital organization tools.
  • Absolute commitment to confidentiality and discretion .
  • A self-starter with the ability to work independently and proactively anticipate needs.
  • Balanced approach — able to stay neutral, professional, and mission-focused while working in a dynamic family environment.

Additional Details
  • Location: local to us for in-person tasks (remote work possible for some responsibilities).
  • Schedule: Flexible, but must be available for key family and business priorities.
