Psychiatric Administrative Assistant for Outpatient Mental Health Practice

We are looking for a part-time (15 to 20 hours a week) administrative professional to support our very busy psychiatric mental health nurse practitioner. You will be the primary administrative support for our prescriber while also coordinating and communicating effectively with the rest of the administrative team.

This is a hybrid/remote position. We are looking for someone who is able and willing to work in-office one to two days a week. Working from home on the other days is possible if there is a confidential, quiet, and professional workspace available for that purpose. Applicants with education and training backgrounds as administrative assistants, LPNs, and/or RNs are ideal.

$22 - $26 hourly

• Scheduling medication intakes, follow-up appointments, and reschedules as needed.
• Acting as the liaison between patient and psychiatric prescriber for any questions regarding telehealth or office appointments, confirming appointments, and providing clarification as needed.
• Closely monitoring and promptly responding to phone and email inquiries.
• Assisting with medical records requests, referrals, and other office tasks
• Coordinating with billing and clinical administrative staff
• Maintaining accurate data entry in our electronic health records system
• Assisting with insurance authorizations needed as well as medication orders, lab orders, and handling communications with pharmacies as needed.
• Assisting patients with the initial paperwork as needed, including help with how to navigate the telehealth portal and virtually "escorting" patients to an appointment with a prescriber when needed.
• Working collaboratively across all company departments - executive, administrative (billing, marketing, & Intake), and clinical (other healthcare providers).

• We're looking for an individual with exceptional organizational, verbal, and written skills.
• You must also be comfortable with technology, including learning new systems, eg, electronic health record systems, cloud-based phone/email systems, and basic productivity/tracking tools.
• You must be dependable, calm, friendly, and professional in your attitude and demeanor towards our patients and your fellow team members.
• You must be able to self-manage in a remote/hybrid environment.
• Prior experience in a health care setting, especially a mental health outpatient setting, is highly desirable.
• Understanding of and ability to adhere to HIPAA privacy regulations and patient confidentiality are critical.
