Core Responsibilities

As an Onboarding Specialist, you will play a critical role in ensuring every new hire feels valued and prepared for success. Your responsibilities will include:

  • Delivering an exceptional new hire experience, starting with the very first phone call and continuing through their integration into the organization.
  • Managing the entire onboarding process, including initiating correspondence, guiding new hires through required steps, and ensuring timely and accurate completion of all documentation.
  • Coordinating logistics such as scheduling appointments, verifying credentials, arranging fingerprinting, and maintaining compliance with all regulatory requirements.
  • Serving as a trusted resource for new employees, answering questions, providing guidance, and helping them feel connected to our culture and values.
  • Collaborating closely with the training team to ensure smooth transitions into orientation and development programs.
  • Maintaining accurate records in our HRIS system, creating digital employee files, and ensuring all documentation meets compliance standards.
  • Supporting recruitment efforts and providing administrative assistance to the HR team as needed.
  • Upholding compliance with federal and state laws, including I-9 verification, HIPAA regulations, and mandatory reporting requirements.

Qualifications

  • Associate’s degree in a related field required.
  • At least 1 year in customer service or administrative roles.
  • Strong attention to detail and organizational skills.
  • Excellent communication skills (both verbal and written) with the ability to build rapport quickly.
  • Proficiency in Microsoft Office Suite and HR systems.
  • Ability to manage multiple priorities with professionalism and a positive, can-do attitude.
  • Valid New York State driver’s license and willingness to travel as needed.
